Description: You have heard about issues surrounding indexing and retrieval of nuclear records and automation and micrographics of these records. Now we are going to get each of you involved in indexing and assigning keywords. The first part of this hands-on workshop will be a very basic, elementary step-by-step introduction, concentrating on how to assign keywords. It is a workshop for beginners, People who have never done it before. It is planned to demonstrate what an analyst has to do to index and assign keywords to a document. Then I will take some pages of a report and demonstrate how I choose keywords for it. Then each of you will have a chance to do the same thing with similar pages from another report. Then we will discuss the variations ln the keywords you individually assigned. There are many systems that can be used. In this particular workshop we will cover only a system of building your own keyword listing as you index your documents. We will be discussing keywords or descriptors or subject words, but first I want to point out a few other critical points about indexing. When developing an indexing project the most important thing to do first lS decide what elements you want to retrieve by. Whether you go into a large computer retrieval system or a small three-by-five card system, you have to decide in advance what you want to retrieve. Then you can go on from there. If you only need to search by equipment number or by purchase order or by contract number, then you can use a very simple retrieval system. Oracle accrual plans from requirements to implementation

Description: Implementing any new business software can be an intimidating prospect and this paper is intended to offer some insight in to how to approach this challenge with some fundamental rules for success. Los Alamos National Laboratory (LANL) had undergone an original ERP implementation of HRMS, Oracle Advanced Benefits, Worker Self Service, Manager Self Service, Project Accounting, Financials and PO, and recently completed a project to implement Oracle Payroll, Time and Labor and Accrual Plans. This paper will describe some of the important lessons that can be applied to any implementation as a whole, and then specifically how this knowledge was applied to the design and deployment of Oracle Accrual Plans for LANL. Finally, detail on the functionality available in Oracle Accrual Plans will be described, as well as the detailed setups.that were utilized at LANL.

Improving building life-cycle information management through documentation and communication of project objectives

Description: Most currently available computer tools for the building industry proffer little more than productivity improvement in the transmission of graphical drawings and textual specifications, without addressing more fundamental changes in building life-cycle information management. This paper describes preliminary research into the development of a framework for the documentation and communication of the project objectives of a building project. When implemented in an interactive networked environment, this framework is intended to promote multiple participant involvement in the establishment and use of a common set of explicit goals, from the earliest phase of a project throughout its life cycle. A number of potential applications for this framework are identified. The requirements for integrating this life-cycle information with a product model of the physical design of a building, in an attempt to document and communicate design intent, are also discussed.

Rural telemedicine project in northern New Mexico

Description: A virtual electronic medical record system is being deployed over the Internet with security in northern New Mexico using TeleMed, a multimedia medical records management system that uses CORBA-based client-server technology and distributed database architecture. The goal of the NNM Rural Telemedicine Project is to implement TeleMed into fifteen rural clinics and two hospitals within a 25,000 square mile area of northern New Mexico. Evaluation of the project consists of three components: job task analysis, audit of immunized children, and time motion studies. Preliminary results of the evaluation components are presented.

Advanced telemedicine development

Description: This is the final report of a one-year, Laboratory Directed Research and Development (LDRD) project at the Los Alamos National Laboratory (LANL). The objective of this project was to develop a Java-based, electronic, medical-record system that can handle multimedia data and work over a wide-area network based on open standards, and that can utilize an existing database back end. The physician is to be totally unaware that there is a database behind the scenes and is only aware that he/she can access and manage the relevant information to treat the patient.

TeleMed: A distributed virtual patient record system

Description: TeleMed is a distributed diagnosis and analysis system, which permits physicians who are not collocated to consult on the status of a patient. The patient`s record is dynamically constructed from data that may reside at several sites but which can be quickly assembled for viewing by pointing to the patient`s name. Then, a graphical patient record appears, through which consulting physicians can retrieve textual and radiographic data with a single mouse click. TeleMed uses modern distributed object technology and emerging telecollaboration tools. The authors describe in this paper some of the motivation for this change, what they mean by a virtual patient record, and some results of some early implementations of a virtual patient record.

Zephyr: A secure Internet-based process to streamline engineering procurements using the World Wide Web

Going On-Line: Bringing Technical Reports to the Desktop

Description: Information management is moving quickly toward archiving and retrieving documents electronically, so Oak Ridge National Laboratory (ORNL) is taking steps to help its research staff create electronic documents. Declining budgets frequently dictate that authors handle the technicalities of getting published as well as the scientific and technical information that they publish. To help the Laboratory benefit from being the leader in this area, ORNL'S Information Management Section formed a multidisciplinary team to develop, pilot, and implement a Web- based process to register and clear technical documents and to add the fill text of these documents to the Laboratory's Comprehensive Publications and Presentations Registry (CPPR). Making this happen required implementing policy changes to address the new performance measure, acquiring software needed for file conversion, developing Web guidance, and providing training and consulting for ORNL staff.

Developing new levels of edit

Description: In 1985, the writing and editing group at Los Alamos National Laboratory established four levels of edit for technical reports. When a survey in 1994 showed that both authors and editors felt the levels were not meeting author needs, the authors set about revising them. Their goals were to simplify the editing process, focus editing on improving technical clarity, and ensure that value was added in editing. This paper describes the revision process and product -- three author-based levels of edit.

Integrating Records Management (RM) and Information Technology (IT)

Description: Records Managers are continually exploring ways to integrate their services with those offered by Information Technology-related professions to capitalize on the advantages of providing customers a total solution to managing their records and information. In this day and age, where technology abounds, there often exists a fear on the part of records management that this integration will result in a loss of identity and the focus of one's own mission - a fear that records management may become subordinated to the fast-paced technology fields. They need to remember there is strength in numbers and it benefits RM, IT, and the customer when they can bring together the unique offerings each possess to reach synergy for the benefit of all the corporations. ES&H self-assessment and improvement program

Description: This document provides an overview of the environment, safety, and health (ES&H) self-assessment and improvement process at Sandia National Laboratories (SNL). It also suggests further developments for self-assessment and improvement. Section 1 explains the many purposes of the self-assessment and improvement program. Section 2 is a description of ES&H self-assessment and improvement and includes information on performance objectives and performance indicators, self-assessment of work areas and activities, reporting of self-assessment results, improvements and corrective actions, and records retention. The sub-section on self-assessment of work areas and activities includes detailed descriptions of organizational self-assessment, ES&H functional program self-assessments, internal independent ES&H assessment, Lockheed Martin Corporate ES&H assessments, and ES&H self-assessment information analysis and integration. Section 3 defines the roles and responsibilities of the ES&H Assessment Department, ES&H Center, SNL management, SNL employees, and contractors, SNL {open_quotes}Line{close_quotes} organizations, and ES&H functional program owners. Electronic document management meets environmental restoration recordkeeping requirements: A case study

Description: Efforts at migrating records management at five Department of Energy sites operated under management by Lockheed Martin Energy Systems, Inc. for Environmental Restoration (ER) business activities are described. Analysis of the Costs of a Backlog Project in Response to Recommendation 2 of the 2004 Archives and History Office Program Review Committee Report

Description: SLAC Archives and History Office (AHO) backlog of unprocessed material is over 3,000 cubic feet and growing. Because much of this material was directly transferred to off-site storage, the provenance and contents are a mystery. The costs of off-site storage, lack of knowledge of the contents, and the impending federal regulations in 2009 concerning storage facilities all suggest the need for a long-term plan for the backlog. AHO presents these options to SLAC management: (1) Continue with the status quo, adding new accessions to OffSite Records Management, LLC (hereinafter referred to as OffSite) storage; (2) Pull the backlog back a segment at a time for box-level processing, determine what is in each box, get rid of extraneous material, and return what is left to OffSite storage; (3) Gradually retrieve the backlog for thorough, folder-level processing and then transfer to the Federal Records Center in San Bruno (hereinafter referred to as FRC) or the Archives side of the operations at the National Archives and Records Administration in San Bruno (hereinafter referred to as NARA); and (4) Gradually retrieve the backlog for a combination of box-level processing with return to OffSite storage and thorough folder-level processing with transfer to FRC or NARA.
